Some teams are surprised by requests for additional information about the team by the tournament director.... in order to give everyone a heads up, here are items that are sometimes requested for the November Qualifying tournament(s), highly likely to be requested at the December Regional(s) and most definitely will be requested at the Championship tournament.
If you list team member names on any of the items, please do not include the full names of team members - first name only is fine.
First priority - Please tell

if the team has decided not to participate in tournaments at all or a specific tournament that the team has registered for. Each year we do have teams that decide not to participate - we would strongly argue against this... Typically no team feels ready, everyone wants more time. In any case, please just tell us - I don't like having to repeatedly call or email you but I will. If the issue is cost, let us know as we have need-based grants to help.
Second priority - pay promptly! As a service to our tournament organizers, we handle the waiver forms and payment of the tournament registration fees. We are a very small nonprofit and cash flow can sometimes be a problem - paying tournament fees on time is very helpful. We like paypal because it gives us access to the money quicker (minus a bit) and we always have a line for a small optional donation.
Most Commonly Requested Items:
- Item 1. Team Profile. (typically emailed in ahead of time but the team may be asked to bring copies for judges)
- Item 2. team photo (typically emailed / accepted formats are usually PNG, GIF or JPG)
- Item 3. robot photo (typically emailed / accepted formats are usually PNG, GIF or JPG)
- Item 4. Rookie team? This is if the team (as in all team members individually) is in their first year of FLL (Rookie year) - coach/mentor is not important, it is the team members.
Additional Items:
- Item 5. Short team overview including items such as any team sponsors, your robot's name (if there is one) and the team's project title / issue - this information typically will be published in the tournament program.
- Item 6: Team Intro for the Emcee. This would be 1 to 3 fun items about the team including sponsors, team cheer, how many years that the team has participated, etc
- Item 7. One page team slide Here are some examples written out in PDF format from 2006..
- Item 8. Project title and a short project abstract explaining the specific challenge issue that your team picked for their project - this should be very short (like a sentence or two, max). 2009 Smart Move Examples
- Item 9. Using vimeo or a similar video service (or uploaded on your site that we can download), a MPEG file of a "good" recording of the team's project presentation - you are responsible for the sound and video quality.
Finally, most tournaments also request that each team coming identify an adult volunteer or bring a practice table/field for the team pit areas. At the championship, we also seek nominations from all Nor Cal teams (independent if they competed at any level) for the Playing At Learning FLL Outreach, Outstanding Coach/Mentor (Youth and Adult) and Outstanding FLL Volunteer Awards.
